Privacy Policy
Last updated 13 October 2026
This Privacy Policy explains what information Virtutix IT collects through this platform, why, and how you can control it.
1. Information We Collect
Account details you provide (name, business name, email, phone, billing address, GSTIN where applicable), the requirements and preferences you share when requesting a service or quote, and payment metadata (amount, currency, method, and a reference — we don't store your card or bank details ourselves). If you contact us by phone, WhatsApp, email or in a meeting before you have an account and ask for a quotation or a call, our team records your name, business name, email, phone number and country and what you asked for, so they can prepare it; we email you a link to register with that email to view it, and once you do, it moves into your account. If you never register, ask us at support@virtutix.com and we delete those details. If you open a Virtutix team member's referral link, we record that the link was opened (which link, when, and a random identifier for your browser) so the right team member is credited. If you sign in with Google, we receive the basic profile details Google shares — your name, email address and profile photo — never your Google password. If you buy from Domains & Hosting, we also collect the domain owner's details you give (name, organisation, email, phone and postal address, and any extra detail a registry requires), the domains you search for, and the settings you choose (DNS records, forwarding, mailboxes and who you invite to manage them). If you turn on auto-pay, our payment gateway (Razorpay) keeps the approved card or UPI mandate; we keep only a label such as the card network and last four digits or your UPI ID, and the approval's status. When a service is delivered we ask for a review: a star rating and, if you choose, a written comment and/or a voice recording of up to two minutes with its text transcript. If you use Talk to us (our virtual assistant), your microphone is used only while you tap it; your browser turns your speech into text, which is sent to our server so an automated assistant can reply. The conversation isn't stored — only the details you check and choose to send become a request to our Sales team, like the Consult an Expert form, and we email a quotation estimate (today's prices for your country) to the email address you give.
2. How We Use Information
To create and run your account, deliver the services you order or request a quote for, calculate correct pricing and tax for your country, generate invoices and quotations, respond to support requests, and improve the platform. If you've told us your industry, we also use it to show you AI-assisted variations of our own service and package descriptions written for that industry — this tailors which of our pre-written descriptions you see, not anything generated from your own personal data. We don't use your information for anything beyond running and improving Virtutix IT.
3. Cookies & Local Storage
The platform uses your browser's local storage to remember practical things — your theme preference, cart contents, an applied coupon, your session, and which Virtutix referral link you opened (with a random identifier for your browser) — so the experience persists between visits on the same device. Signing in also sets a secure session cookie so you stay logged in. On the login, registration and password-reset forms, a human check by Cloudflare Turnstile runs in your browser to stop automated sign-ups and password guessing; Cloudflare processes technical signals from your browser for that purpose only. We also count visits and measure page speed anonymously with our hosting provider's built-in analytics (no cookies, nothing that identifies you), and when a page fails to load we record the technical error (the page, the error message and the browser type) so we can fix it. None of this is a third-party advertising tracker.
4. Data Sharing
We don't sell your information. It's shared only with the Virtutix IT team members who need it to deliver your service (e.g. Sales, Delivery, Recruitment, depending on what you've ordered), and with the service providers who run parts of the platform for us, strictly for that purpose: our hosting and database provider (which stores your account and profile), Google when you choose to sign in with it, Cloudflare for the human check on sign-in forms, Microsoft when you book an expert call (your name, email and the call topic go into our expert's Outlook calendar invite, and video calls run on Microsoft Teams), and payment providers to process a transaction (and, if you turn on auto-pay, to keep your approved mandate and charge renewals). For Domains & Hosting: the domain owner's details go to our accredited domain registrar partner and to the registry for that ending, as registration requires, and are shown in the public domain lookup (WHOIS/RDAP) unless privacy protection is on; hosting, email and add-ons are run by our infrastructure partners, who store your website files, mailboxes and settings to provide them. To watch your domains, we check your websites' availability and SSL certificates and search public certificate logs for lookalike domains; a Website Audit Report or SEO check reads your public website. Reviews: your rating and comment are shared with the team that delivered the service and our admins. A voice review is stored privately in your account — it is never played to other clients; only you, our admins and the team assigned to that project can listen to it. Turning your voice into text uses your web browser's built-in speech recognition, which some browsers (such as Google Chrome) carry out on their own speech service; you can always type your review instead.
5. Data Security
We apply reasonable technical and organizational measures to protect your information appropriate to how it's currently stored and processed: encrypted connections, access rules so each account sees only its own data, and monitoring for attacks. When something on the platform goes wrong for you, we automatically record an error report so we can fix it quickly: the error, the page, the last few steps you took on the site (pages opened and buttons pressed — never what you typed), your device, browser and screen size, and, at most once an hour per kind of error, a screenshot of the page with anything typed into forms blanked out. Error reports and screenshots are visible only to our admins and are deleted after 30 days. To protect the platform, we also record the network (IP) address, country and browser of requests that look like attacks or misuse, kept for 90 days. No online platform can guarantee absolute security, but we take reasonable steps to reduce that risk and will let you know if something affecting your data needs your attention.
6. Your Rights
You can access or correct your personal information at any time directly through your Profile settings, or by contacting support@virtutix.com. You can also deactivate or permanently delete your own account yourself, from Profile > Danger zone — see 'Account Deactivation & Deletion' below for exactly how each works. We'll respond to any other request within a reasonable time.
7. Account Deactivation & Deletion
Deactivating your account (Profile > Danger zone) pauses it indefinitely — you won't be able to sign in until you reactivate, but every field in your profile and everything else in your account stays exactly as it is, for as long as you like, with no automatic timer or data loss. Deleting your account starts a 30-day grace period during which your account and its data stay fully untouched and fully restorable — signing back in during that window and choosing Restore cancels the deletion completely and reverses it with nothing lost. Once the 30-day window closes, we permanently and automatically erase your personally-identifying details — name, contact information, address, tax IDs, logos, and photos — from our systems, through a scheduled, unattended process rather than a manual step someone has to remember to run. Records we're legally required to keep for a defined period (for tax or invoicing purposes, for example) are retained only as long as the law requires, with your personal details stripped from them first. We may also keep a minimal, anonymized record of past business activity — for instance, that a now-anonymous client purchased a given service for a given amount on a given date — for our own internal review and audit purposes; this record can no longer identify who you were.
8. Third-Party Sign-In
Sign in with Google is offered as a convenience so you don't need a separate password for this platform. We only request the basic profile information (name, email address and profile photo) needed to create and identify your account — we never see your Google password, and we don't ask for access to your Gmail, Drive, Calendar, contacts or any other Google data. We use these details only to sign you in, show your name and photo in your account, and contact you about your orders and support requests. We store them with your account for as long as it exists and delete them when the account is deleted. We don't sell them, share them with advertisers or data brokers, or use them for advertising, and no one at Virtutix IT reads them except when needed to help you, for security, or to comply with the law. Virtutix IT's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. You can still use email and password instead, and you can remove Virtutix IT's access at any time from your Google Account (Security → Third-party apps with account access).
9. Children's Privacy
This platform is intended for business use and isn't directed at children. We don't knowingly collect information from anyone under 18.
10. Changes to this Policy
As with the Terms & Conditions, this Policy is updated whenever the platform changes in a way that affects what data we collect or how we use it — a new sign-in option or a new feature that stores something new, for instance. The date at the top always reflects the latest revision.
